Upcoming Transition of Ball State Online Storage from Box to OneDrive

September 29, 2020

Over the next several months, Ball State will migrate its online file storage services from Box to Microsoft OneDrive. Unlimited storage on OneDrive is available to all Ball State students, faculty, and staff as part of their Ball State Office 365 account. To find out more about OneDrive and how to set it up on your computer or other device, please refer to our Technology Knowledge Base page, https://bsu.edu/onedrivehelp.

What happens next?

In order to make this transition as smooth as possible, Information Technology is developing a plan to automatically migrate Box accounts to OneDrive accounts. When the plan is finalized, Information Technology will begin migrating your individual Box content to a new or existing OneDrive account, including any folders or files you currently share. The sharing permissions and roles will be automatically transferred as well.

As we move forward, more specific details about the migration plan, along with any deadlines and actions required on your part, will be communicated in advance. For all current information and resources for the migration from Box to OneDrive, please refer to this Information Technology Knowledge Base page, https://bsu.edu/onedrivehelp.

When will the migration happen?

Information Technology is working on a full Box-to-OneDrive content migration plan and we will announce additional steps and dates as soon as they become available.

As we begin this process, there are a couple of things that will occur in the near future.

  • After the beginning of Spring semester, no new Box accounts will be created. All new content, shared folders, etc., must be stored in OneDrive.
  • All current institutional folders in Box will currently remain as they are. Information Technology will work with each department that has any institutional folders to migrate them to OneDrive.

Can I move my files and folders myself?

Yes, if you prefer to, you can manually move your individual Box files and folders to your OneDrive account. If you choose to do so, it’s important that you delete the files and folders you move from your Box account. If you don’t, those files and folders will be transferred a second time to your OneDrive account when Information Technology automatically migrates Box content, possibly causing file duplication. There are step-by-step instructions to migrate files and folders from Box to OneDrive in our Knowledge Base article, Moving Files from Box to OneDrive in Windows and MacOS.

NOTE: It is very important you do not attempt to manually move an institutional folder from Box into OneDrive. Information Technology will move all institutional folders at a future date.
