Review: Ball State University’s External Proposal Submission Policy
All proposals, contracts, and agreements for external funding must gain approval from the Sponsored Projects Administration (SPA) before being submitted to any sponsor. To facilitate a smooth and timely processing experience, faculty, staff, and students must notify a SPA Proposal Manager at least 15 business days (3 weeks) before the sponsor’s deadline.
Allowing sufficient time for review is essential. This enables a thorough evaluation of external proposals to confirm compliance with sponsor guidelines and adhere to state, federal, and university policies. It also ensures that Department Chairs, Deans, and other administrative units can provide valuable insights, aligning the proposals with the college's strategic goals. SPA ensures adherence to fiscal regulations while supporting all parties involved, enhancing the likelihood of project success, and paving the way for meaningful work that furthers our shared mission.
All submission-ready final materials required by a sponsor must be submitted to SPA at least three (3) business days before the deadline. Failure to meet this requirement will result in the proposal not being submitted.
