Beginning Aug. 1, 2026, Ball State University will no longer process reimbursements for AI tool subscriptions purchased individually by employees.
Employees who need access to advanced AI tools for University work must request a subscription through the University’s approved purchasing process by completing the AI Tools Subscription Request form in ServiceNow.
The advanced AI tools currently available through this process are:
- Gemini Pro
- Chat GPT
- CoPilot Studio
Anthropic tools are not currently offered through the University.
