CENTRAL MAIL PICKUP AND DELIVERY NOTICE

New Central Mail Delivery Schedule

Effective immediately, Central Mailing will deliver campus mail and packages twice weekly on Tuesdays and Thursdays.

Stopping Mail Delivery

If your department is or plans to be closed, please send an email to delivery@bsu.edu to let us know to hold your mail and packages. Please include the following information: department name, building, room number, and hold dates.

Mail Delivery Process During "Social Distancing"

Central Mail employees will be exercising "social distancing" of a minimum of six feet. Therefore, we ask that each department put their outgoing mail by the inside of the entrance to the department, preferably in a mail tub. The Central Mail employee will leave your incoming mail and packages in the same location. For packages that require proof of delivery, our Central Mail employee will work with you to obtain the signature while maintaining a six-foot distance. If the receiver is not comfortable with handling the iPad for an appropriate signature, the Central Mail employee can take a picture of the recipient of the package(s) and attach it to the delivery receipt instead.

Delivery Express Mail Announcement

As a result of the campus buildings and departments closing to reduce the spread of COVID-19, the USPS, UPS, and FedEx drivers have been unable to deliver express delivery material on campus. This material includes, but is not limited to, express mail, overnights, next-day air savers, 1-day priority mail, etc. Express delivery material requires a signature as proof of delivery. Because of the time-sensitive nature, they have traditionally been delivered directly to the receiving department by the carrier company. As a convenience to Ball State University Departments, Purchasing Services is temporarily suspending our regular process regarding express delivery material. We will conditionally accept these time-sensitive mailings for 24 hours. During these 24 hours, we will reach out to the department in an attempt to establish a means of delivery to the recipient. If we are not able to deliver an express delivery material after 24-hours, we will have the item "Returned to Sender" through the delivery carrier.

Office Supply Orders Delivered on Tuesday and Thursdays only

As the campus responds to the circumstances surrounding CORVID-19 and the population on campus is decreased, Office Depot deliveries will temporarily be made to Ball State on Tuesdays and Thursdays only. If your department is holding mail and packages at Central Mail, your office supply orders will also be held and available when you pick up your mail. Once the COVID-19 circumstances are over, office supplies will go back to being be delivered each day. In the meantime, please be aware of the new delivery schedule, and we ask that if your department is closed, only order items that are essential to you at this time. If you have any questions, contact delivery@bsu.edu.

Schedule for Campus Mailbox Pickup Times

Central Mailing employees will only be checking campus mailboxes at this time for buildings that have indicated they are open for Tuesday and Thursday mail delivery. The boxes will be checked Tuesdays and Thursdays at the regularly scheduled time posted on the mailboxes. Thank you for your patience and understanding during this time. If you have any questions, please feel free to contact us at delivery@bsu.edu.

Mail Pickup by Appointment

Departments are welcome to pick up all departmental mail and packages from the Central Mailing office by appointment. Campus mail and packages can be picked up from Tuesday-Friday each week between the hours of 1-4 p.m., by appointment only. If your department decides to have an employee(s) to pick up the departmental mail and packages, the department must send an email from an @bsu email address to delivery@bsu.edu. The email must include the name(s) of the Ball State University employee that will be responsible for picking up the department's mail and packages, it must also copy the director of the department. The responsible employee that will be picking up the mail and packages will be required to schedule a pickup time, each time and must present their BSU ID to retrieve departmental items. We want to ensure that we keep all BSU property and information protected and secured through this process. Central Mail is located at 3401 North Tillotson. Please come to door 2 (it is labeled with a large "2" on the door) and go to the window in Central Mailing.

We appreciate the opportunity to work with you during this time to ensure that you may continue to send and receive mail, as well as temporarily hold your mail in a secure location in the interim. If you have any questions and/or concerns, please contact Central Mail at delivery@bsu.edu and 765-285-8369.
