Beneficence Days: New Payroll Schedule

November 28, 2023

Dear Ball State Faculty and Staff:

The Office for People and Culture (formerly Human Resources) recognizes the importance of down time to refresh and recharge, therefore in preparation for the upcoming holidays, we have updated the payroll processing schedule to account for the approved Beneficence Days. These changes impact you and are meant to avoid asking you to work (review timecards, make edits, enter time off, etc.) over the holiday break. Instead, the Department of Payroll Operations will be processing the December 29, 2023 paycheck early and we need your help in meeting the new deadlines as outlined below:

12/10/2023
The last payroll period of the year (pay #26) begins. Please monitor UKG daily to resolve timecard errors like missing or duplicate punches and absences. Enter any timecard edits or time off requests throughout the pay period, allowing time for your Timekeeper/Supervisor to approve them.

12/21/2023
Please review your timecard for accuracy and approve it. Employees who clock in will still need to clock out at the end of the work day.

**Note: Your supervisor/timekeeper has until 10:00 AM to approve your timecard.
**Note: Overtime and callback hours will be reconciled and paid on January 3rd.

12/29/2023
The last pay date of the year (pay #26).

1/2/2024
Please consult with your Timekeeper/Supervisor immediately should you need to make any edits to your timecard.

**Note: Your supervisors/timekeeper has until 12:00 PM to finalize any changes and approve.

1/3/2024
Payroll will process payments for hours worked but not paid for the prior pay period.

1/5/2024
Direct deposits will go out for hours worked but not paid.

1/8/2024
We will be back to the normal payroll processing schedule, with timecard approvals from your Timekeeper/Supervisor due by 2:00 PM.

Should you have any questions regarding the deadlines above, please reach out to your designated Timekeeper or Supervisor for immediate assistance, or the HR Solutions Center at (765) 285-1834.

Thank you,

Office for People and Culture
