The Ball State Conflict of Interest/Commitment policy in the handbook (section 38) states that employees have an obligation to disclose financial conflicts or perceived conflicts wherein:
- The individual or their dependent(s) receive financial support from a domestic entity that alone, or when aggregated, totals $5,000 or more over a 12-month period.
- The individual spends more than 20% of their time (one day per week) on activities outside the University.
- The individual or their dependent(s) receive any support, regardless of the amount, from a foreign entity.
We are asking employees to disclose all external activities and salaries that meet the criteria listed in our policy on an annual basis.
If the employee is benefiting from a University contract or use of a self-authored text at Ball State, the State of Indiana legally requires they disclose if they will earn $250 or more from the contract. Our office will facilitate this process; please just plan to disclose through our application form, where the state form will be made available for you to download, complete, and upload. All state disclosures must be approved by the Board of Trustees before such materials are used or services performed, and these approvals occur at their scheduled meetings throughout the year. To have such materials approved in time for the Spring 2026 term, please submit any self-authored text disclosures either by August 28th for the September Board meeting or by November 10th for the December meeting, through the digital form for Board and state approval.
